Manhattan Facility Management ? The Sustainable Solution for Managing the Workplace
Managing facilities, whether they are office buildings, laboratories, educational buildings, stores, government buildings, nuclear energy structures or rights of way, requires a life-cycle point of view, from the moment a real asset is conceived of to the moment it is no longer on this planet.  This life-cycle point of view is now even more critical with the emphasis on sustainability and saving our planet from destructing forces.  Manhattan has created a full suite of applications for facility management which include:

1. Space Planning and Management
Manhattan’s Space Planning and Management applications are the best-in-class in the Facility Management market. Space plans for each floor of a building are created from the business unit requirements and translated to sf/sm requirements (demand) mapped to the existing space inventory (supply).  Scenario plans can be created for the building level with the aid of the Stacking tool which can provide a planner with the ability to 'drag & drop' groups of proposed occupants from one floor to another to maximize productivity and utilization of space. 

In addition, Manhattan has the ability to model flex space, identify the requirements to make the change, and compare the plan to existing space.  This can all be done in a completely isolated environment so that there is no impact on current production data.  Using simple CAD functionality, but not requiring AutoCAD, on a copy of the as-built drawings, the new flex workstations can be positioned and modeled.  They can then be assigned a capacity which can then be compared to conventional space to identify the advantage from a consolidation standpoint.

2. Moves, Adds and Changes
Manhattan has a comprehensive Move, Add, Change application.  The MAC process can begin at the inception of the project (planning, budgeting), through the execution, and then once complete, update the drawings and data to reflect the move.  Post move, the move data is archived which builds historical data that may be used for forecasting and trend identification to support business intelligence.

3. Telecommunication and Cable Management
Manhattan has the ability to graphically display telecom jacks, as well as the cable routing the telecom objects may be linked together to identify the network architecture and power architecture.  Each of the items can also have data associated with them such as jack numbers and other specific attributes.

4. Asset Inventory
Manhattan has the capability of tracking any asset category. Each asset can have a unique identifier or serial number, location and associated cost center. The asset can be broken down into components which also may have unique attributes and are specific to that component or asset.  Each asset can also be associated to space, organization or human resources records.  The asset record automatically is associated with any work orders which come through the help desk for reactive maintenance or preventive maintenance tasks that reference the asset.  This allows for tracking the history of the work done on the asset as well as providing a more thorough calculation of the Total Cost of Ownership (TCO) of the assets.

5. Site and Employee Services
The Manhattan FM module includes a Portal which is customizable for each client and can be used by employees to access a range of real estate and facilities services and non-facility services.  It is used for Employee Self Service and includes a help desk, site work (grounds), site or room reservations (parking and booking conference rooms or hoteling), facility services (too hot/too cold; food, audio/visual), reprographics and project requests (move my group to new location).

6. Contract Management
Manhattan’s Contract Management application manages the contract through its life cycle from the Bid Management process, to the execution of the contract, payment of the contract, tracking the work against the contract and identifying what is and what is not included in the contract costs.  Ticklers are created to alert to the expiry of the contract.  Manhattan assists with contract performance management through tracking Service Level Agreements and monitoring the actual costs through the Real Estate Asset Ledger..

7. Work Order Processing
Manhattan allows work orders to be placed with suppliers and monitors the delivery of goods or services against the work orders with matching capabilities.  Work Orders can be sourced from a Helpdesk request, a Preventative Maintenance Program, a Project or a Contract This application is integrated with the Manhattan Accounts Payable.

8. Physical Security and Condition Assessments
Manhattan On-Site supports recording the results of any type of assessments, including those executed for security and building conditions.  Security related details can be associated with the location (site or building) as attributes.  Condition data can be captured at the asset level (component of a building, like an HVAC system) or for an entire building (the Facility Condition Index-FCI).

9. Environmental, Health and Safety
Environmental data on buildings has become the focus of many organizations Sustainability reports as they follow Triple Bottom Line Accounting (environmental, social and economic). Manhattan refers users to the Global Reporting Initiative (GRI) which defines how environmental categories should be reported.  One category, energy includes four indicators which can be stored in Manhattan:  direct energy use by primary source, indirect energy use, initiatives to use renewable energy and to increase energy efficiency, energy consumption footprint (Manhattan has a carbon footprint calculator included in the application). LEED and Energy Star ratings can also be tracked for a real estate portfolio.

EHS details can be associated with any asset or location and shown specifically on a floor plan with any relevant detailed information.  In addition, exit routes and doors can be identified on the floor plans and disaster plans can be attached to building records.

10. Disaster Recovery/Resumption Planning
Manhattan has the ability to create full disaster recovery models that are ready to be executed whenever necessary.  The application allows for critical personnel to be identified and alternative locations to be predefined in a Disaster Recovery Move Plan (DRMP).  The DRMP can be executed by the touch of a button which would alert all involved with their individual tasks to execute the plan and ensure business continuity.  In addition, CAD drawings can be displayed by any employee for disaster recovery routes per area of the floor and building during a building evacuation.
